Abstract

The Council of Autism Service Providers (CASP) Documentation Special Interest Group (SIG) has completed the Category III ABA Current Procedural Terminology® (CPT®) codes session note templates for applied behavior analysis (ABA) services. The process to develop these templates included lengthy discourse pertaining to design of the CPT codes, the clinical activities associated with each provider type delivering the service, and evaluation of how to meaningfully capture relevant information. The creation of the templates also included input from subject matter experts who specialize in healthcare documentation, legal compliance, and clinical practice. Designed to capture each client’s individualized and medically necessary ABA services, the templates are adaptable across different documentation methods (e.g., paper and pencil, electronic health records) and organizational processes for service delivery.This session will offer insight into the rationale behind the template content, including considerations for clinical and operational integration. The development process was guided by CASP’s mission to cultivate, share, and advocate for provider best practices in autism services, with a focus on improving the quality and consistency of documentation. These templates offer a unified approach to ensure the necessary information is provided according to the services delivered. The webinar will also provide recommendations for incorporating these templates into the clinical workflows of both ABA organizations and individual providers.

Presenter

Rebecca Womack, MS, LBA, BCBA

Rebecca Womack, MS, BCBA, LBA, is the Director of ABA at Optum. She has been privileged to serve both adults and children using applied behavior analysis (ABA) across diverse settings, including facility-based care, group homes, day centers, clinics, and family homes throughout the United States and overseas. In addition to her clinical expertise, Rebecca is passionate about ensuring that ABA service delivery aligns with generally accepted standards of care. With a strong background in healthcare documentation requirements and compliance systems, she was the lead author of a chapter on documentation guidelines for ABA services. As a former Subject Matter Expert for the Association of Professional Behavior Analysts (APBA) and a former representative for the Behavior Analyst Certification Board (BACB) on the ABA Coding Coalition (ABA CC), Rebecca has contributed to advancing clinical and operational standards across the field. She also previously served on the Standards Committee for the Autism Commission on Quality, was one of the co-chairs for the Documentation (Doc) Special Interest Group (SIG), and co-lead the development of the Practice Parameters for Artificial Intelligence Use in Applied Behavior Analysis. Under her co-leadership, the Doc SIG created the first standardized session note templates for documenting ABA services. She remains a current member of the Board of Directors for the BACB. Rebecca has extensive experience in public policy and has presented at national conferences, earning multiple awards for her advocacy and her support of ABA organizations in delivering quality services. Through RAW Consulting Solutions, which she founded, Rebecca provides education and consulting services to ABA organizations and professionals. In every role, her goal is to promote effective, efficient, and high-quality services that leverage the science of behavior analysis.

Heather O'Shea, PhD, BCBA-D

Dr. Heather O’Shea has spent the last 20 years working with families and children with special needs. She earned her Ph.D. in Clinical Psychology, specializing in services with children and families working in the educational, hospital, and legal systems. She obtained her BCBA-D and focused her work in ABA starting in 2004. Her work at the Chief Clinical Officer of a national organization prepared her for taking on her role as President of Verbal Behavior Associates (VBA). Her commitment to quality service delivery, ethics, training, mentorship and leadership have driven her dedication to the field. Her mission is to impact the field and leave a lasting positive impact on all of those impacted by and committed to improving the lives of those touched by autism.
